Job Summary:

This position provides high-level administrative and operational support to programs operating in JFK Partners. This Program Assistant position (full-time, 1.0 FTE) position will provide financial, operational, & communication support for the JFK Partners faculty and staff, including the ENRICH program. ENRICH is a transdisciplinary early intervention training and clinical service program that operates on a fee-for-service basis as part of JFK Partners under the Section of Developmental Pediatrics, CU School of Medicine. The ENRICH program includes eight faculty from several different disciplines and typically 4 to 5 graduate fellows.

Key Responsibilities:

Operational, Administrative, and Communication (50%):
  • Supporting program faculty and fellows; assuring they have access to the equipment they need to provide home and telehealth visits.
  • Act as a main point of contact for faculty, staff, and student inquiries; maintain knowledge of and interpret program processes and policies; Able to resolve problems, answer questions, and provide information, and/or advise others on program policies/guidelines.
  • Ordering office supplies.
  • Maintaining the computer inventory.
  • Serving as the point person for the copy machine contract and ordering copy machine supplies.
  • Processing disability verifications using archived medical records.
  • Collecting and reporting faculty leave.
  • Disposing of old equipment.
  • Processing/approving keys, badging, and conference rooms.
  • Make recommendations to existing workflows/processes to a supervisor.

Financial (50%):
  • Monitor billing and program accounts and maintain records for the ENRICH Early Intervention program within JFK Partners.
  • Preparing budget documents and reports.
  • Assisting faculty/trainees with travel reimbursements, processing purchase orders, and entering data for grant activities.
  • Estimate/forecast budget needs (usually connected to purchasing); assist with budget recommendations for future spending.

Work Location:

Hybrid - this role is eligible for a hybrid schedule of 2 days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:
  • Four (4) years of relevant experience in a program or administrative support role.
    • Substitution: A combination of related education and/or relevant experience in an occupation related to the work assigned equal to four (4) years.

Conditions of Employment:
  • Must successfully pass a drug test through Children's Hospital Colorado.
  • Must be willing and able to pass a national criminal background check.

Preferred Qualifications:
  • Experience with billing processes for private and public insurance for therapeutic purposes.
  • Experience maintaining medical records.
