Job Description:
This role supports the students and directors of the Bandier Program for Recording and Entertainment Industries and the school's endowed chairs. The role is responsible for administrative, travel-planning, and budget coordination that is essential to the program's/chairs' success.

This position is part of a bargaining unit and is represented by the union SEIU, Local 200United.

Responsibilities:
ADMINISTRATIVE ASSISTANCE
  • Provide high level administrative assistance as assigned, dependent on fluctuating needs.
  • Serve as primary gatekeeper, managing all calendar, meeting, speaking, committee, and event requests.
  • Build and maintain relationships with organizations that offer student internships.
  • Compile regular and annual reports to update donors on status and performance of programs.
  • Monitor, prioritize, respond and redirect (as appropriate) all communication to the Endowed Chair Suite.
  • Support endowed chairs as needed with managing communications with grant recipients and partners.



TRAVEL MANAGEMENT
  • Research and execute all planning for travel (booking train/plane fares for students, faculty, administrators; coordinating vehicles; making reservations for hotels, meeting spaces, restaurants, etc.) for Bandier program director, endowed chairs, guests, speakers, etc.
  • Coordinate student experiences required by programs, benchmark trips, immersions, capstone programs, festivals, etc.
  • Communicate timelines and other important travel experience information to students and respond to questions/provide support as needed.
  • Secure tickets to events and facilities.
  • Coordinate capstone housing.

EVENT PLANNING & EXECUTION
  • Independent project management for planning and executing all aspects of events and activities sponsored by the endowed chairs and Bandier Program.
  • Assist with admissions, graduation, family weekend and alumni visits.
  • Maintain annual event calendars.
  • Coordinate with alumni and industry professionals for visits and panels.
  • Plan and coordinate logistics relating to advisory board meetings.
  • Collaborate with units across campus for joint events.
  • Organize Alexia speakers and workshops, and handle logistics for The Alexia judging weekend.

BUDGET/FINANCE PROCESSES
  • Oversee all financial processes required for reconciling purchases, reimbursements, travel expenses, etc. incurred director, chair, their projects, etc.
  • Manage credit card reconciliations, reimbursements, travel expenses for chairs, program director, faculty, students, etc. as needed.
  • Coordinate W-9 payments for guest speakers, panelists, guest editors.
  • Manage travel allowances for students and per diem for faculty.
  • Track yearly expenditures in collaboration with budget office.
  • Track faculty advisor contracts.

RESEARCH PROJECTS
  • Assist with research projects undertaken by the endowed chairs, including grant submissions, reporting requirements, etc.
  • Coordinate hiring and overseeing research assistants as needed.
